Events Calendar is Here! (and how to use it)

On Mon March 31, 2025, you will find a new Events Calendar waiting for you on our website. During our beta testing we heard things like “Wow, this is much easier”, “This is so streamlined”, and my personal favorite, “It’s clear what I’m supposed to do”. Sound like music to your ears? Well, tonight, sometime between 8pm and midnight the new system will go live.

What you need to know, if you have reservations/tickets in the old system for any event starting April 1st or later, you need to RSVP in the new system. Sorry about that. We aren’t able to transfer one to the other. But it’s quick and easy to do it for yourself.

We need everyone to RSVP. The old system was giving everyone headaches, but this system is straight forward and honestly, with grant money being so hard to get these days, we need to have accurate stats. And it will take you 2 min’s to do this in the new system, but 10X longer for your host to put you in.

We have a short video show exactly how to RSVP. Unfortunately we don’t have sound to go with it. So I’m going to talk you through what you are seeing, then I’ll give you a cheat sheet at the end.

First, sign into the BWWVT.org website. Yes, you should do this every time. You’ll notice “Login” on the black bar, fill in the form if it doesn’t fill in for you (hit the remember me check box for the future).

You can go to Events in the black bar and get in the old way, but if you notice the Upcoming Events and your event is listed there – click that. It will take you straight to the sign up page. Much faster. If it’s not listed, use the View Calendar button (shown in the video) and then find your event on the calendar. In our video, Writingscapes on April 4th is our example.

Hover your mouse on your event and it will give you a pop up window. On the bottom of that window, click on “RSVP Now”.

This will bring you to the sign up page (if your event was listed under Upcoming, this is where it would take you). It was too quick in the video, but the top part lists the event and important info, scrolling down you’ll see a button for RSVP.

Clicking RSVP will take you to a short form that hopefully will be filled out for you – name, email, and number attending. Then click the finish button. You should receive a confirmation email within 5 min. It’s that easy.

If you need to cancel your RSVP, just follow the same steps.

You will receive reminders 3 days before the event, 1 day before, and an hour before. Each of these emails will have the zoom link attached. But should you misplace your email, follow the same steps. Below the RVSP will be a Join Now that takes you directly to zoom (no extra pages needed).

1. Sign in
2. Upcoming Events – find event or use View Calendar
3. If using View Calendar, find event and click RSVP
4. Click RSVP button
5. Check name, email, and number attending are correct
6. Click Finish and wait for confirmation email (should be 5 mins or less)
7. Attend workshop
